Dundurn is seeking an Operations Specialist to ensure the success of Dundurn's sales and marketing operations. Reporting to Dundurn’s Sales & Marketing Manager, the Operations Specialist will be responsible for managing projects, process implementation, and analysis. The Operations Specialist manages Dundurn's bibliographic data, ebook distribution, reports on inventory, and assists the sales team.


Duties and responsibilities


Process implementation

  • Ensure marketing, sales and publicity staff are maintaining essential department tracking documents and grids
  • Create and streamline new processes for departmental tasks using internal project management software and tools
  • Ensure editorial, marketing and sales staff are on track for key seasonal dates for US and Canadian seasonal deadlines and conferences



  • Ensure high quality bibliographic standards and meet seasonal workflow deadlines
  • Assist in identifying key selling points and comp titles prior to record approval
  • Review and approve records for new titles in conjunction with sales and editorial staff
  • Manage ad hoc metadata updates, processes, and troubleshoot issues
  • Identify and manage metadata solutions to improve product awareness/discoverability


eBook Distribution

  • Maintain high quality metadata records for effective eBook distribution to sales channels in DAMs
  • Troubleshoot and resolve issues with eBook vendors
  • With direction from sales and marketing manager, implement ebook promotional pricing and merchandising


Inventory management

  • Weekly inventory reporting and analysis to address stock needs and identify reprints
  • Daily monitoring of incoming orders for NYP titles and back orders
  • Liaison with production staff and distribution partners to address inventory needs and trigger inventory transfers
  • Overstock and slow-moving title analysis to make recommendations for remainder sales and pulping


Sales support tasks

  • Assist with trade show organization
  • Assist with creation of sales materials
  • Create and maintain inside sales and special projects tracking grids
  • Prospect and research leads for inside sales projects and new titles
  • Facilitate sales for event stock in conjunction with publicity team, event organizers, and booksellers
  • Track and report on pre-orders for forthcoming titles to help determine print runs
  • Perform ad hoc sales analysis and reporting as requested
  • Prepare and send Weekly Update email to sales reps and internal staff
  • Other tasks and projects assigned by manager




  • University degree
  • Publishing certificate an asset
  • 3+ years of publishing industry and/or project management experience
  • Highly organized, self-motivated
  • Results-driven attitude and excellent follow-through skills essential
  • Ability to independently research
  • Comfortable working as part of a team and delegating tasks
  • Creative, agile, open to new ideas
  • Technical experience with metadata and ONIX files an asset and/or working knowledge of BooksoniX software
  • Familiarity with Ingram IQ and UTPPI an asset
  • Understanding of warehouse operations and experience analysing inventory an asset
  • Experience with ebook distribution and vendor management
  • Proficient with project management software (Asana), and the Microsoft Office Suite, particularly Excel
  • Knowledge of digital marketing strategies and online tools such as Facebook, Twitter, email marketing software and blogging an asset
